This policy explains what personal information Probity Management collects through this website, how we use it, and who we share it with. It applies only to this website — not to any separate services or portals we may operate.
We only collect information you choose to give us. We do not require you to create an account, and we do not sell your information.
We use the information you submit solely to respond to your inquiry, prepare a management proposal, and follow up about our services. We do not use it for advertising, and we do not sell or rent it to anyone.
When you submit a form, your message is delivered by email to our management inbox. We use an internal management system to keep track of inquiries and make sure nothing is missed. As part of that, the contents of your message may be processed automatically — sent to an AI service that reads it in order to categorize it, write a short summary, and create a follow-up task for the right person on our team.
This is an organizational tool, not a decision-making one. It is used to sort and route your message. It does not decide whether we take you on as a client, what we quote you, or anything else that affects you — a person reviews your message before we respond.
Your message contents are not used to train the AI provider's models.
If you would prefer that your message not be processed this way, email us directly at contactus@probitypropertymanagement.cominstead of using the form, and ask us to handle your inquiry manually.
We share information only with the service providers that help us operate this website and receive your messages, and only as needed for those purposes:
These providers may process and store information on servers outside Canada, including in the United States, where it may be subject to the laws of those jurisdictions. We may also disclose information if required by law.
This website does not use advertising or tracking cookies, and we do not run third-party analytics that profile you. Cloudflare Turnstile may set its own technical cookie or similar identifier as part of the bot check.
We keep inquiry and proposal messages for up to 24 months after our last contact with you, after which we delete or anonymize them. We may keep information longer where we are required to by law.
You can ask us to access, correct, or delete the personal information you have submitted through this website. Contact us using the details below and we will respond within a reasonable time. Because our forms are the only way we collect information here, you can also simply choose not to submit them.
Information you submit is sent over an encrypted connection and is stored in our managed business email account, which is protected by access controls and multi-factor authentication. Access is limited to the people who need it to respond to you. The service providers listed above are established vendors that maintain their own security programs. No system can be guaranteed completely secure, but we take reasonable steps appropriate to the sensitivity of the information involved.
If you have a question or complaint about how we have handled your personal information, please contact us first using the details below — we will look into it and respond. If you are not satisfied with our response, you have the right to contact the Office of the Privacy Commissioner of Canada, which oversees compliance with federal private-sector privacy law.
